Reducing No-Shows at Open House Events and Large-Scale Events
Your open house weekend attracts over a hundred registrations – but thirty percent don't show up. Empty slots mean wasted time for your sales team and disappointed walk-ins you had to turn away. At large-scale events, every no-show adds up to a real cost.
How timum solves this
timum automatically sends confirmations and reminders – by email and optionally by SMS four hours before the appointment (PROFESSIONAL, bookable as an add-on), with the address and a one-click link to cancel. Anyone who cancels frees up their slot, which you can assign to standby attendees or walk-ins. Group appointments with a participant limit manage the influx.
- SMS reminder shortly before the appointment – the urgency noticeably reduces the no-show rate.
- 2-click cancellation makes it easy for prospects to cancel early.
- Group appointments and QR code booking for structured mass viewings.
Which message goes out when
| When | Message | Plan |
|---|---|---|
| Immediately after booking | Confirmation with appointment and meeting point | every plan |
| 24 hours before | Email reminder, with address and 2-click cancellation | every plan |
| 4 hours before | SMS reminder | PROFESSIONAL, bookable as an add-on |
The email reminder alone brings the no-show rate down from 20–30% to under 10%. The SMS also reaches the people who no longer open their emails on the day of the event (Appointment reminders). Which messages timum sends overall is listed in the overview in the Help Center; how to add the SMS option is explained in the guide.
When a hundred people come in one afternoon
An open house is not a single appointment but a series with capacity. In timum, you set the maximum number of participants freely – per appointment, per appointment series, or directly on the availability, from which new appointments inherit it (Group appointments).
Two effects that make the difference in practice: Booking fills one time block before offering the next – so you don't lead three tours of two people each, but one tour of six. And participants can't see other participants' data, which with a hundred registrations is not a detail but the very prerequisite for being allowed to keep the list this way at all (Guide).
Getting walk-ins onto the same list
Every public booking link is also available as a QR code, and from the channel settings you can download a ready-made booking graphic – for the property listing, the construction site sign or the display stand at the entrance (QR codes). Anyone who drops by spontaneously scans and books the next free block themselves, instead of being written down on a slip of paper by your team. The slots freed up by cancellations are exactly the capacity you offer to walk-ins.
How to tell whether it works
Under Settings → Statistics you'll find bookings, attendance and cancellation rates for any period, filterable by appointment type (Appointment statistics, Guide). This lets you verify what would otherwise just be a claim – compare the event with and without SMS before you book the option permanently. One month of history is included in every plan, the full history in PROFESSIONAL.
